How Our Virtual Review & Estimating Process Works

Simple, clear steps from submitted documents to organized reviews, estimates, and repair guidance.

Ricketts Estimating & Project Services works remotely with contractors, homeowners, and overseas property owners by reviewing the documents you provide and turning them into clear estimating support, quote review, or practical repair guidance.

Whether you need a contractor estimate, an independent second opinion, or owner-side advisory support, the process is designed to be simple, organized, and easy to follow.

Our 4-Step Process

Step 1 – Share the Documents

Send us the documents related to your project, quote, estimate, or repair situation.

This may include:

  • photos or video of the property or affected areas
  • contractor quotes or bids
  • insurance estimates
  • scope notes and measurements
  • change orders or revised quotes
  • supporting reports or documentation
  • deadlines or important background details

You can send files by email or secure upload link. If anything important is missing, we will let you know before moving forward.

Step 2 – We Review the Information

We review the documents you provide and assess the scope, pricing, or support needed based on the service you requested.

Depending on the situation, this may involve:

  • estimate preparation
  • contractor quote review
  • insurance estimate review
  • scope comparison
  • change-order review
  • remote owner-side advisory support

If clarification is needed, we will reach out with any quick questions before preparing the final work.

Step 3 – We Prepare Your Estimate or Review

Once the documentation has been reviewed, we prepare the requested estimate, comparison, or review based on the information submitted.

Depending on the service, you may receive:

  • a virtual Xactimate estimate
  • a quote review or estimate review
  • written observations on scope or pricing
  • comparison feedback between documents
  • practical guidance on next steps
  • clarification flags or follow-up questions to raise

Our goal is to provide clear, organized support that helps you make better decisions and move forward with confidence.

Step 4 – Move Forward with More Clarity

Use the completed estimate, review, or feedback to move forward with your next step.

This may include:

  • submitting a claim-related estimate
  • reviewing a contractor quote before approval
  • comparing bids or payment requests
  • asking better follow-up questions
  • making a more informed repair or project decision

The process is designed to help you reduce confusion, improve clarity, and keep things moving.

What We Need From You

The better the documentation, the stronger and more accurate the final review or estimate.

Depending on the service, helpful documents may include:

  • photos or video of the property or affected areas
  • contractor quotes, bids, or change orders
  • insurance estimates or claim-related documents
  • scope notes, measurements, or floor plans
  • payment requests or revised pricing
  • background details, deadlines, or specific concerns you want reviewed

If something is missing, do not worry — we will let you know what is needed before moving forward.

Turnaround Times & Rush Options

Most standard review and estimating files are completed within 48–72 business hours once complete documentation is received.

Larger, more complex, or multi-document files may require additional time. We will always confirm expected turnaround before starting.

Rush options may be available depending on current workload. If you have a deadline, let us know when you send the file.

Revisions & Communication

Our goal is to keep the process clear, responsive, and easy to work through.

For each file, we include:

  • one round of minor revisions where appropriate
  • clarification by email for simple questions
  • updates if we need more information before finalizing the work

If the scope changes significantly or the file becomes much larger than originally submitted, we will discuss any added fee before proceeding.

Data Security & Confidentiality

We treat your files, documents, and information as strictly confidential.

  • Files are stored and shared using reputable, secure tools
  • Documentation is used only for the purpose of preparing the requested estimate, review, or advisory support
  • We are happy to sign a simple NDA if required

If you have specific file-sharing preferences or security requirements, let us know and we will do our best to align with them.

Ready to Send Your Documents?

Whether you need estimating support, quote review, or practical repair guidance, we make the process simple, organized, and easy to follow from start to finish.
