Send us your field documentation for the claim:
· Photos and videos
· Scope notes and measurements
· Any mitigation logs or reports
· Insurer name and any deadlines
You can send files by email or via a secure upload link — we’ll confirm receipt and ask any quick clarifying questions.
We prepare a detailed Xactimate estimate based on your documentation:
· Sketch, line items, and notes as needed
· Separation of mitigation and rebuild (where applicable)
· Room-by-room breakdown for residential and light commercial claims
· Clear structure so adjusters can follow the scope
Typical turnaround for standard files is 48–72 business hours once we have complete documentation.
You receive:
· Xactimate estimate file (ESX)
· Exported PDF
· A short summary of key cost drivers and assumptions
You review the estimate, ask any questions, and request minor adjustments if needed. Small revisions based on your feedback are included for each file.
With a precise, defensible estimate in hand, you:
· Submit to the insurer or client with confidence

For regular clients, we provide a monthly summary of completed estimates so you can track volume, cost, and recovery.
The better your documentation, the stronger the estimate. For each claim, we recommend sending:
· Loss type (water, fire, wind, mould, roof, etc.)
· Property type (residential / light commercial)
· Photos or video walkthrough of the affected areas
· Scope notes and measurements (or floor plan, if available)
· Any mitigation logs, equipment lists, or drying readings
· Insurer name, claim number (if assigned), and any due dates
If something is missing, don’t worry — we’ll tell you what’s needed so we can move forward.
Most standard residential files are completed within 48–72 business hours once we receive full documentation.
Larger or more complex losses may require additional time — we’ll always confirm expected turnaround before starting the file.
Rush options may be available for urgent claims depending on current workload. If you have a hard deadline, let us know when you send the file.
